Creating a EBT Food Stamp Tendering Code

AccuPOS allows the processing of Electronic Benefit Transfer (“EBT”), which are basically electronic food stamps that are swiped using a state-issued EBT card. Before you can process EBT using AccuPOS, the merchant service account must be set up to handle this type of transaction. You will need the Platinum or Elite versions of AccuPOS in order to swipe EBT cards.

IMPORTANT: there can be two different balances on an EBT card. These are EBT Food Stamp and EBT Cash. The EBT Food Stamp type is strictly for food stamp purchases- only items approved by the food stamp system.The EBT Cash type is allocated with a social security account, allowing the customer to purchase all available items (including liquor, cigarettes, etc), not just food. Both should be set up in your accounting program and in AccuPOS (instructions for both are below).

To set up EBT Food Stamps

  1. Go to Manage Tendering Codes.

  2. Enter Food Stamp in the ‘Displayed Button Text’ and ‘What will print on receipt’ fields.


  3. Set the General Ledger Account a specified sales account in the accounting. In the example, we will be using Food Stamps.


  4. Set the Type to Payment dropdown menu to EBT Food Stamps.


  5. Typically, no change can be given for Food Stamps. Set the maximum change amount to zero.


  6. Click Add Tender when finished. The List of Current Tender Types window on the left should be updated with the new tender type.


To set up EBT Cash

  1. Go to Manage Tendering Codes.

  2. Enter EBT Cash in the ‘Displayed Button Text’ and ‘What will print on receipt’ fields.


  3. Set the General Ledger Account a specified sales account in the accounting. In the example, we will be using EBT Cash.


  4. Set the Type to Payment dropdown menu to EBT Cash.


  5. Set the Maximum Change Allowed. In the example we’ve kept it to “0”.


  6. Click Add Tender when finished. The List of Current Tender Types window on the left should be updated with the new tender type.
